The Problem

Summit Real Estate Group was receiving 200+ inquiries per week across their website, Zillow, and email. Every inquiry was manually checked by a coordinator who would Google the prospect, assess intent, and assign it to an agent. This took 30+ hours per week and hot leads often sat untouched for hours.

The Approach

    Mapped their existing lead flow from all channels (website forms, Zillow API, email parsing)

    Built an automated ingestion pipeline on Make.com that captures leads from all sources into Airtable

  3. 3

    Used OpenAI to analyze each lead's message for intent signals, budget indicators, and urgency

    Created a scoring algorithm (1-100) based on AI analysis + data enrichment (property type, location, budget range)

  5. 5

    Set up automatic Slack notifications — hot leads (80+) ping the assigned agent immediately, warm leads go into a daily digest
